Designing clear information-finding experiences in a complex product

Background

M-Files is a global document management platform that supports knowledge work by helping users find and use information efficiently. I work as a Product Designer, collaborating as part of a growing, cross-functional design organization. My focus is on improving how users discover, refine, and work with information.

Role & Responsibilities

At first, I focused designing search and filtering experiences. The goals was to help users narrow down large sets of content and locate relevant information more efficiently. To better understand user needs, I gathered information about user goals and common challenges related to information discovery. I used existing research materials and interviewed internal experts, to gather fresh insight. The information helped to make design decisions and ensure that solutions addressed real user problems. As the product evolved, my work expanded towards AI-assisted information finding. I focus on designing interactions that enhance discoverability while maintaining trust and ease of use.

Collaboration & Ways of Working

I work closely with cross-functional product partners in an agile environment, contributing to both discovery and delivery phases. My role is to explore and validate design solutions, balancing user needs with technical feasibility and product goals. This means close collaboration with product and engineering to ensure alignment.

Design System

Alongside feature work, I contribute to maintaining and evolving a shared design system in Figma. This includes creating and refining reusable components and styles, plus improving and adding documentation. I also supported visual and interaction consistency across AI-assisted interfaces by designing shared patterns and components that can be reused across different contexts.

Knowledge Sharing & Team Impact

In addition to product design work, I actively support the design team by sharing knowledge on topics like accessibility and inclusive design practices. I sometimes facilitate workshops and discussions aimed at improving collaboration and team ways of working, and have frequent sparring sessions with other designers.

Outcome

My work contributed to improving the clarity and usability of information-finding experiences, helping users locate relevant content more efficiently while supporting the product’s long-term consistency and scalability.
